Job Description

Sigma Defense is seeking a Project Analyst to support DOW Customers by coordinating project administration, documentation, reporting, scheduling, and tracking activities. This position supports project execution by maintaining project records, preparing meeting materials, capturing decisions and action items, and assisting with reports, deliverables, procurement packages, and financial tracking inputs. The role requires strong organization, communication, documentation, and follow-through skills to help ensure project information is accurate, timely, and ready for stakeholder review.

This is a contingent role pending award and funding of position. This means that the position is subject to the successful awarding of a contract and will be confirmed once the contract is finalized. The candidate selected for this role will be offered the position on the condition that the contract is awarded to our organization and this position is funded.

  • 1-3 years of experience in a project support or analysis role.
  • Experience in project administration, program support, executive support, or related administrative functions.
  • Ability to prepare and maintain project documentation, reports, meeting minutes, trackers, and records.
  • Experience coordinating meetings, schedules, action items, and stakeholder inputs.
  • Ability to compile technical, management, security, financial, and project information into structured materials.
  • Experience with Microsoft Office tools, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Strong written and verbal communication skills.
  • Strong attention to detail, organization, and ability to manage multiple deadlines.
  • Ability to support controlled access to sensitive information.
  • Must be a U.S. citizen.

Candidate Differentiators:

  • Experience supporting DOW, federal, combatant command, or mission-focused customer environments.
  • Experience supporting Monthly Status Reports, Technical Status Meetings, kickoff materials, and formal meeting minutes.
  • Experience tracking project milestones, deliverables, staffing actions, transition activities, and financial reporting inputs.
  • Familiarity with SharePoint, document management systems, procurement tracking, and approval workflows.
  • Experience analyzing project data to identify trends, issues, risks, or areas for improvement.

Personnel Clearance Level:

  • Candidate must possess or have the ability to obtain an active Secret clearance or higher.
  • Clearance may be sponsored for the right candidate.

Essential Job Duties (not all-inclusive):

  • Support project administration, documentation, reporting, scheduling, and tracking activities.
  • Prepare kickoff materials, meeting minutes, reports, MSR inputs, and structured stakeholder notes.
  • Capture meeting notes, decisions, risks, issues, action items, and follow-up requirements.
  • Maintain project trackers, schedules, records, reports, and document repositories.
  • Track milestones, deliverables, staffing actions, transition activities, and financial reporting inputs.
  • Compile technical, management, security, and financial information for stakeholder review.
  • Coordinate meetings, agendas, materials, attendance, and follow-up actions.
  • Support preparation and routing of approval packages.
  • Prepare trip reports documenting traveler information, approval authority, objectives, costs, and knowledge gained.
  • Organize and submit meeting reports, project records, and customer-facing documentation.
  • Identify project issues, shortfalls, trends, and improvement opportunities.

Salary Range: $53,000 - $97,000 annually.
