• About the Role We are a high-growth psychiatric practice that is expanding to 15 states via telemedicine, alongside a specialized physical clinic in Fairfax, VA (focused on TMS and Ketamine). We have moved away from traditional agency models to a high-efficiency AI-Augmented Stack. We are looking for an Operations Manager to "pilot" this machine. You are not responsible for manual content writing or manual keyword bidding; you are responsible for orchestrating tools and ensuring clinical ROI.
• The Tech Stack You Will Manage CRM: HubSpot Enterprise (including Breeze AI / Content Hub). Ads & Technical SEO: Ranked.ai (Managed PPC & SEO). Local/State SEO & Reviews: KiwiHealth (Virtual Proximity Engine). Project Management: ClickUp. Key Responsibilities
• Key Responsibilities AI Content Orchestration: Use HubSpot Breeze to generate localized landing pages for 15 states and clinical blogs. You will audit these for medical accuracy (E-E-A-T) and brand voice. Productized Service Oversight: Monitor Ranked.ai deliverables. Audit their weekly PPC reports to ensure our Cost Per Acquisition (CPA) remains healthy and negative keywords are being filtered. Reputation & GEO-SEO: Manage KiwiHealth to respond to patient reviews (HIPAA-compliant) and ensure our "Virtual Proximity" listings are accurate across 15 states. Closed-Loop Reporting: Maintain a HubSpot Enterprise dashboard that tracks the journey from "Ad Click" to "Booked Appointment" to "5-Star Review."
• Requirements HubSpot Enterprise Proficiency: You must understand Workflows, Custom Objects, and the Breeze AI Content Agent. AI-Native Workflow: You prefer using AI and productized services over manual labor. Healthcare Experience (Preferred): Understanding of HIPAA compliance and medical search intent (TMS, Ketamine, Psychiatry). Data-Driven: You focus on CPA and Conversion Rates, not "vanity metrics" like clicks or impressions.
