About the Practice

Our Client is hiring on behalf of an established U.S.-based dental practice in New York that is committed to providing quality dental care and a welcoming patient experience.

The practice is looking for a confident, experienced, and results-driven Spanish-Bilingual Dental Appointment Setter & Patient Reactivation Specialist who can connect with patients, convert inquiries into scheduled appointments, and reengage patients who have not returned for care.

This is more than a traditional dental receptionist position. We are looking for someone who understands the dental industry, communicates naturally in both English and Spanish, and knows how to turn patient conversations into confirmed appointments.

If you have strong U.S. dental front desk experience, enjoy speaking with patients, and can work independently with minimal supervision, we encourage you to apply!

Key Responsibilities

1. Patient Call Conversion & Appointment Scheduling (Top Priority)

  • Answer incoming patient calls professionally and confidently in English and Spanish.
  • Convert prospective patient inquiries into confirmed dental appointments.
  • Build rapport, address patient concerns, and guide callers toward scheduling.
  • Explain common dental procedures and introduce prospective patients to the practice.
  • Schedule, reschedule, and confirm patient appointments accurately.

2. Patient Reactivation & Treatment Scheduling

  • Proactively contact inactive patients and encourage them to return for dental care.
  • Follow up with patients who have unscheduled treatment plans and help them book appointments.
  • Address common scheduling concerns and encourage patients to proceed with recommended treatment without applying inappropriate pressure.
  • Maintain organized follow-up records and track appointment conversion efforts.

3. Dental Receptionist & Patient Communication Support

  • Manage incoming calls, appointment confirmations, and patient follow-ups.
  • Answer routine questions about dental services, procedures, and scheduling.
  • Provide friendly, knowledgeable, and professional patient support.
  • Handle common patient concerns independently and escalate clinical or complex inquiries when appropriate.
  • Maintain accurate patient information and appointment records.
  • Assist with dental insurance verification when experienced (preferred but not required).

4. Dental Insurance Verification

  • Verify patients' dental insurance eligibility and active coverage.
  • Confirm benefits, deductibles, copays, annual maximums, and applicable coverage limitations.
  • Contact insurance providers or use payer portals to obtain accurate benefit information.
  • Document insurance verification results in the practice management system.
  • Communicate insurance-related information to the dental team and patients when appropriate.
  • Identify coverage discrepancies and escalate issues requiring further review.
