Job Description
We’re looking for a high-agency, technically capable Executive Assistant who can operate as a true operational partner inside a fast-moving US startup environment.
This role is evolving beyond traditional support. As the business integrates AI more deeply into customer service and internal workflows, you will help shift operations from manual execution to structured, AI-enabled systems. You will support leadership directly while also identifying opportunities to automate, streamline, and improve how work gets done.
This is not a task-only admin role. We are looking for someone who understands US startup pace, thinks like an operator, and can independently drive execution without constant oversight.
This role requires full alignment with EST business hours.

What You’ll Own
Executive Support with Operational Depth
- Manage complex calendars, scheduling, inbox priorities, and travel logistics
- Track priorities across multiple workstreams and ensure follow-through
- Prepare summaries, documents, and internal updates for leadership
- Act as a central coordination point across internal teams and contractors
AI-Enabled Workflow Automation
- Identify manual processes that can be streamlined using AI tools
- Implement and maintain automations using tools such as Make, Zapier, and AI copilots
- Support AI-driven customer service workflows and operational systems
- Document processes and build repeatable operational playbooks
- Continuously evaluate and recommend practical AI applications
Startup Operations and Execution
- Translate high-level direction into structured next steps with minimal guidance
- Improve clarity and organization across tools such as Notion, Google Workspace, Slack, and task managers
- Create systems that reduce bottlenecks and unnecessary founder involvement
- Operate with strong judgment in fast-changing situations
Transition and Knowledge Continuity
- Lead knowledge transfer from the current contractor
- Consolidate documentation, workflows, and institutional context
- Identify operational gaps during transition and implement improvements
What You Bring
- 3 to 6+ years of experience supporting founders or executives in US startup environments
- Strong understanding of startup pace, ambiguity, and rapid iteration
- Demonstrated experience implementing workflow automations
- Working knowledge of modern AI tools and practical AI use cases in operations
- High agency with the ability to execute independently
- Strong written and verbal communication skills
- Systems thinker with strong organizational instincts
- Ability to work consistently during EST business hours
Nice to Have
- Experience supporting AI-enabled customer service or operational systems
- Background in tech, SaaS, e-commerce, or digital-first businesses
- Experience working with distributed contractor teams
- Exposure to light technical integrations or implementation work
