We’re looking for a highly organized and proactive Executive Assistant to support a fast-moving executive in the property management industry. This role is ideal for someone who understands the fast-paced nature of property management and can confidently manage both executive-level administrative responsibilities and property-related coordination.  Experience in property management is highly preferred, particularly hands-on experience with AppFolio or other property management platforms. 

This role is open to all candidates in the Philippines and all over Latin America.

What You’ll Be Doing:

  • Support the executive with day-to-day property management operations, including task coordination, follow-ups, documentation, and administrative support across properties
  • Coordinate with property managers, tenants, vendors, and contractors to track requests, maintenance issues, and action items through completion
  • Maintain and update property information using AppFolio, Buildium, Propertyware, or similar property management platforms
  • Manage executive administrative tasks including calendar, inbox, scheduling, meetings, and correspondence
  • Track priorities, deadlines, and projects while conducting research and supporting property management and business-related initiatives
  • Proactively anticipate needs, follow up on outstanding matters, and maintain confidentiality when handling sensitive business, property, and personal information

Who We’re Looking For:

  • Excellent written and verbal English communication skills
  • Minimum 3 years of experience as an Executive Assistant, Personal Assistant, or similar support role
  • Experience supporting senior executives, founders, or business owners preferred
  • Proficiency in AppFolio, RingCentral, Outlook and OneDrive
  • Highly organized with strong attention to detail and ability to manage multiple priorities simultaneously
  • Proactive, dependable, and able to anticipate needs with minimal supervision
  • Willing and able to provide flexibility for occasional overtime, weekend work, or extended hours when required
  • Available to work in US time zones (Graveyard shift in the Philippines)
  • Available to start within 2 weeks from job offer

Technical Requirements:

  • Comfortable in using time-trackers (e.g. Time Doctor)
  • Own laptop/desktop, noise-cancelling headphones, and webcam
  • Reliable internet connection (at least 50 Mbps)
  • Available backup equipment in cases of power and internet outages
