Job Description

We are looking for a part-time HubSpot Administrator to serve as the architect and engine room of our go-to-market operations. Your mission is to ensure our HubSpot instance isn't just a database, but a high-performance growth machine. To get things moving, we’ll you full-time for the first 2 - 4 weeks to help us clean up our data and workshop exactly what we need. Once that groundwork is laid, the role will settle into a part-time rhythm.

The ideal candidate lives for clean data, automated efficiencies, and creating clarity within custom reports. You’ll be responsible for the architectural integrity of our CRM, ensuring our sales, marketing, and success teams have the tools and insights they need to succeed.

Key Responsibilities

System Architecture & Best-of-Breed Practices

  • Operational Excellence: Implement "Best of Breed" CRM configurations, staying strictly aligned with HubSpot’s evolving best practices (e.g., proper use of Custom Objects vs. HubDB).
  • Process Smoothing: Proactively identify "friction points" in current processes and design system-based solutions to remove hurdles for the sales and marketing teams.
  • Stack Optimisation: Research, vet, and manage third-party plugins and integrations. You’ll stay ahead of the curve on the HubSpot App Marketplace to ensure our tech stack remains lean and powerful.

Data Analysis & Advanced Reporting

  • Advanced Analytics: Move beyond basic metrics to build multi-touch attribution models, cohort analysis, and revenue forecasting dashboards.
  • Data Integrity: Lead regular data cleansing audits, managing deduplication, property validation, and normalisation to ensure the "Single Source of Truth" remains untainted.
  • Actionable Insights: Translate raw data into executive-level narratives, highlighting trends in lead velocity, conversion rates, and churn.

Training & Enablement

  • Internal Training Programs: Develop and lead structured training sessions for new hires and existing staff to ensure high platform adoption and proficiency.
  • Knowledge Base Management: Maintain a searchable internal "HubSpot Handbook" that documents our specific custom properties, naming conventions, and unique business logic.
  • Feature Evangelism: Stay ahead of HubSpot’s monthly product releases and proactively train the team on new tools (e.g., AI assistants, new sequence features) to keep us competitive.

Workflow Design & Automation

  • Lifecycle Automation: Architect complex workflows to automate lead routing, lead scoring, and lifecycle stage transitions.
  • Internal Efficiency: Build internal-facing automations that trigger notifications, task assignments, and Teams alerts to keep the team moving.

User Management & Governance

  • Permissioning & Security: Manage user seats, roles, and permission sets to ensure data security while providing staff with the access they need to be productive.
  • Governance: Establish and enforce "rules of the road" for how the team enters data, ensuring long-term system health and preventing "CRM bloat."
  • Ensure compliance with privacy and data laws such as GDPR
