Job Description

Role Title

Marketing & Business Development Operator (Engineering / AEC Focus)

We are looking for Virtual Professionals based in the Philippines.
This is a fully remote position for the role of Marketing & Business Development Operator (Engineering / AEC Focus)

Applications with an introduction video attached will be prioritized.
Due to the fully remote nature of this role, it is important that candidates are comfortable communicating on video calls.

Role Summary

This role exists to rebuild and run a consistent business development engine for a 38-year-old MEP engineering firm that has historically relied on referrals.

You will step in where there is currently no structured outreach, no consistent follow-up, and no centralized tracking.

Your job is to:

  • Reopen dormant relationships with architects and developers
  • Initiate new conversations with relevant firms
  • Maintain a disciplined outreach cadence
  • Capture real market feedback
  • Remove all admin and coordination load from the President

You will operate directly with the firm’s President and will be expected to think, decide, and execute without daily direction.

This role is not for candidates who need scripts, constant supervision, or pre-built systems.

Core Responsibilities

Business Development Execution (Primary Function)

  • When a list of past proposals or contacts is available, you review history, extract context, and initiate outreach with relevance (not generic messaging)
  • When outreach is due (monthly cadence or triggered by opportunity), you initiate calls via RingCentral and follow up via email when needed
  • When speaking to architects or developers, you adapt the conversation in real-time—no rigid scripts
  • When a contact shows interest, you move immediately to secure a meeting, call, or in-person lunch for the President
  • When outreach is completed, you log outcomes, next steps, and key relationship insights in the tracker
  • When a deal is lost or stalled, you ask directly why and document pricing, timing, or relationship factors

Outreach System Ownership

  • When no tracker exists or is incomplete, you build and maintain a structured outreach tracker (cadence, notes, status, follow-ups)
  • When follow-ups are due, you execute without being reminded
  • When priorities shift, you adjust outreach targets and cadence accordingly

Research & Targeting

  • Before contacting any firm, you review their website, leadership, and recent projects to inform your outreach
  • When identifying new firms, you select targets aligned with high-end positioning—not volume outreach

Executive & Operational Support

  • When meetings are needed, you coordinate calendars and lock in schedules without back-and-forth delays
  • When emails need to be sent, you draft them in the client’s voice—clear, concise, and professional
  • When inbound communications arrive (drawings, inquiries, requests), you organize and ensure nothing gets lost
  • When proposals or projects are active, you track deadlines, missing items, and follow-ups until resolved
  • When invoicing support is needed, you organize and prepare information for QuickBooks coordination

Marketing & Presence Support

  • When LinkedIn activity requires attention, you review messages, connection requests, and surface relevant opportunities
  • When materials are outdated, you coordinate updates to project lists, references, or announcements
  • When research is needed, you identify firms, partnerships, or opportunities worth pursuing

Requirements (Non-Negotiable)

  • Proven experience doing outbound business development (calls + email) with professional clients (AEC, engineering, construction, or similar)
  • You are comfortable initiating conversations with senior professionals without scripts
  • You can run your own tracking system and follow-up cadence without supervision
  • You are organized to the level of documenting conversations, insights, and next steps consistently
  • You can write clear, professional emails that sound like an executive—not a VA
  • You are comfortable asking direct questions (including why proposals were lost)
  • You are able to operate in ambiguity and build structure where none exists

If you need step-by-step instructions or daily check-ins to stay productive, this role will not work for you.

Tools

  • Microsoft Outlook
  • RingCentral
  • Microsoft Office (Word, Excel, PowerPoint)
  • Outreach Tracker (you will build/maintain)
  • Proposal History / Summary Tracker
  • QuickBooks (support level)

What We Actually Care About

  • You follow up without being told
  • You capture useful information—not just activity
  • You can hold a conversation with senior professionals confidently
  • You prioritize quality relationships over volume outreach
  • You keep systems clean, updated, and usable
  • You reduce the President’s cognitive load—not add to it

What This Role Is NOT

  • This is not a passive admin role waiting for instructions
  • This is not a high-volume cold calling role with scripts
  • This is not a social media manager position
  • This is not for entry-level candidates learning business development
  • This is not a role where “activity = performance” (results and insights matter)

Position Details

  • Fully Remote (Philippines-based)
  • US business hours (Pacific Time alignment required)
  • Async work expected; minimal hand-holding
  • Contractor structure

Application Instructions

To apply, you must submit:

  1. A 1–2 minute introduction video
  2. A written response to this prompt:

“You are reaching out to an architect who requested a proposal 2 years ago but did not move forward. Write the exact opening message or call approach you would use to restart the conversation—and explain why.”

Applications without this will not be reviewed.
