Job Description

What you’ll be doing:

Schedule: Full-time, 40 hours/week, Monday-Friday. Availability to work standard Central Time business hours required.

Location: This position is posted as remote; however, per company policy, candidates residing within a 35‑mile radius of ZIP code 80230 will be required to follow a hybrid schedule (3 days/week onsite), even if they applied to the remote posting.

The Neuromodulation Services Manager ensures the clinic runs smoothly and achieves business outcomes by overseeing and participating in daily operations, which include efficient and effective policies and procedures and strong operational business practices.  This position partners closely with clinical, operational, revenue cycle, marketing, and medical leadership teams to identify opportunities for program enhancement, improve workflows, support market expansion, and drive key performance outcomes for Transcranial Magnetic Stimulation (TMS) and future neuromodulation programs.

Essential duties and responsibilities:

  • Ensure effective revenue cycle integrity by developing, monitoring, and participating in associated clinic processes including but not limited to:
    • Insurance verification
    • Patient registration
    • Prior authorization
    • Documentation requirements
    • Collaboration with central billing office lead
  • Support strategic initiatives focused on expanding Neuromodulation services within existing and new markets
    • Track and monitor business development initiatives and provide recommendations based on market insights and performance data
  • Oversight of the other Transcranial Magnetic Stimulation (TMS) clinics, staff, etc. (Dallas, Denver, Seattle, Baltimore, Chicago), including:
    • Oversee and participate in daily operations to include patient and staff scheduling management
    • Support timely patient and provider communications
    • Developing and implementing effective policies and procedures
    • Understanding and monitoring adherence to regulatory requirements and meeting the needs of both patients and providers
    • Support patient needs as required for intakes and procedures including providing back-up support for TMS procedure administration, as necessary
  • Provide staff training on TMS procedures to technicians, providers, and Teammates
    • Maintain TMS certification and ensure adequate certified coverage for TMS operations at all sites
  • Gather, analyze and share clinic KPI’s and action plan as needed with operational leadership

Must haves:

  • High School or GED (required)
  • CPR certification (required)
  • If not already obtained, TMS Certification will be provided by clinic (required)
  • For Colorado Teammates:
    • Teammates working in a Colorado Residential Child Care facility (RCCF) in a supervisory role must have a college degree as well as a minimum of two (2) years of experience working in a childcare setting (required)

Bonus qualities:

  • Bachelors Degree (preferred)
  • Medical Assistant or LPN background (preferred)
  • Minimum of 2+ years of directly supervising a team; 2 years’ experience in outpatient behavioral health clinic management (preferred)
  • Experience and understanding of prior authorization processes
  • Experience in working with Transcranial Magnetic Stimulation (TMS) (preferred)
  • Experience in working with outpatient Ketamine treatment (preferred)
  • Working knowledge of behavioral health insurance benefits, CAQH, insurance contracting and credentialing requirements, CPT codes, ICD 10, and HIPAA (preferred)
