The position

The Mobility Coordinator is a key member of our operational team, supporting immigration processes and playing a leading role in vendor management. The Mobility Coordinators are responsible for onboarding new external vendors in collaboration with our Procurement team and reconciling vendor invoices in collaboration with Mobility Specialists. Mobility Coordinators also assist the team with fundamental immigration compliance, including Right to Work (RTW) checks, expiring document reviews, and immigration audits.
Join Remote at a pivotal time and contribute significantly as a Mobility Coordinator within our Onboarding and Mobility team. This role offers the unique opportunity to impact the global employment landscape directly.
Requirements
- 2 years experience in an administrative role (preferably in a Global Mobility, Immigration, or HR-related capacity)
- Previous experience with invoice reconciliation and vendor-client communication is essential
- Team player with the ability to take direction and then work independently
- Strong organization skills and ability to manage workload across multiple tech platforms
- Enjoys finding ways to improve and speed up their work through process improvements and automation, and familiar with using AI tools in the workplace
- Writes and speaks fluent English, additional languages are a plus
- Experience working remotely is a plus
- Experience with Coupa or similar spend management software is a plus
Key responsibilities
- Verify and reconcile vendor invoices to ensure data accuracy
- Support various compliance requirements, including immigration audits, physical document checking and arranging couriers, and expiring document verification
- Coordinate basic Right to Work checks following structured guidelines, including face-to-face and 3rd party verification as needed
- Partner closely with the Mobility managers to own tasks that ensure streamlined operations for the Mobility team
- Support the Mobility Specialists with issuing immigration-related documentation, as needed
- Collaborate on ad-hoc, cross-team Operations projects, including onboarding, off-boarding, and contract amendments, as needed
